Privacy Policy (ExpiryX)

App name: ExpiryX (“we”, “our”, “us”)

We do not sell your personal information. We do not share user data with anyone for any purpose except the limited cases described in Section 4.

This Privacy Policy explains how ExpiryX collects, uses, shares, and protects information when you use our mobile application and related services (the “Service”).

1) Information we collect

a) Information you provide

  1. Account details: phone number (for OTP sign-in), and any profile details you choose to add (such as name/email, if available in the app).
  2. Document details: document name, brand, category, purchase/expiry dates, notes, warranty months, and any other details you enter.
  3. Images you upload: photos of invoices, warranty cards, or related documents (you may upload up to 2 images per document).

b) Information collected automatically

  1. Device & app data: basic device information (device type, OS version), app version, and diagnostic logs needed to keep the Service stable.
  2. Usage data: screens/features used and performance metrics (to improve reliability).

c) Notifications data

If you enable reminders, we store your reminder preference and schedule local notifications on your device. Notification content may include document names and expiry status.

2) How we use your information

We use your information to:

  1. Authenticate you via OTP and maintain your session.
  2. Upload and process your document images to extract relevant fields (e.g., purchase date, expiry date, brand).
  3. Save and manage your documents in the app.
  4. Send reminders (local notifications) about upcoming or expired documents.
  5. Improve and secure the Service, including preventing abuse and troubleshooting issues.
  6. Communicate service-related notices (e.g., important updates, account/security notices).

3) How document image processing works

When you upload document images:

  1. The images are sent to our backend servers to extract details and help auto-fill form fields.
  2. We may store the uploaded images and extracted results so you can view your documents later and so reminders can work correctly.

4) Sharing of information

We do not sell your personal information.

We may share information only in these cases:

  1. Service providers: trusted vendors who help us run the Service (hosting, storage, analytics, error monitoring). They are permitted to use data only to provide services to us.
  2. Legal requirements: if required by law, court order, or to respond to lawful requests.
  3. Safety and security: to protect users, prevent fraud/abuse, or enforce our terms.

5) Data retention

We retain information only as long as needed to:

  1. Provide the Service,
  2. Meet legal/accounting obligations, and
  3. Resolve disputes and enforce agreements.

You can request deletion of your data (see Section 8).

6) Security

We use reasonable administrative, technical, and physical safeguards to protect your information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7) Children’s privacy

ExpiryX is not intended for children under 13 (or the minimum age required in your region). We do not knowingly collect personal information from children.

8) Your choices & rights

Depending on your location, you may have rights to:

  1. Access the information we hold about you,
  2. Correct inaccurate information,
  3. Delete your data, and
  4. Withdraw consent where applicable.

9) Permissions

ExpiryX may request:

  1. Camera permission: to take photos of documents.
  2. Photo/library access: to upload existing images.
  3. Notifications permission: to send reminder notifications.

You can change these permissions anytime in your device settings.

10) International transfers

Your data may be processed in countries other than your own depending on where our servers/service providers operate. We take steps to ensure appropriate protections.

11) Changes to this Privacy Policy

We may update this policy from time to time. We will update the “Effective date” and, if changes are significant, provide notice within the app or on our website.
